A label can look perfect on screen and still cause delays, added cost or disappointing print results if the file is not set up correctly. To prepare artwork for label printing, you need more than a sharp logo and an attractive layout. The finished label has to suit the label size, cutting method, material, product surface and conditions it will face.
For short and medium runs, getting the artwork right before it enters production keeps approval and turnaround moving quickly. It also means the label you receive is the label you expected, whether it is going onto a wine bottle, a chilled food pack, a cosmetic jar or a trade product stored outdoors.
Start with the finished label size and shape
Set your artwork to the exact finished size of the label, not the size of the container and not an approximate measurement. If your label is 80 mm wide by 50 mm high, the document should be built around that finished size before bleed is added.
Measure the application area carefully. Curved bottles, tapered jars and containers with seams or moulded ridges can affect how a label sits. A wide label that looks good flat may wrinkle or overlap once applied to a narrow bottle. Where possible, test a plain paper mock-up around the product before finalising the layout.
Shape matters too. Rectangles with square or rounded corners are straightforward, while circles, ovals and custom contours need accurate cut information. Leave enough clear space around borders and key elements. A fine border close to the edge can look uneven if it shifts slightly during cutting, even when the label is within normal production tolerance.
Add bleed and keep important content safe
Bleed is the extra image area that extends beyond the final cut edge. It prevents an unwanted white edge appearing if the cut moves slightly. As a general rule, extend background colours, photos, textures and solid panels at least 2 mm beyond every edge of the finished label.
For example, an 80 mm x 50 mm label with 2 mm bleed on all sides should have an artwork size of 84 mm x 54 mm. The final cut remains 80 mm x 50 mm, but the extra image area gives the finishing process room to work cleanly.
Keep text, logos, barcodes and other essential details inside a safe area, ideally at least 2 mm from the cut line. For smaller labels, that space may need to be balanced against the available area, but critical content should never sit on the edge. This is particularly relevant for ingredients panels, batch details, warning statements and small logos.
Custom shapes need a clear cut path
If the label has a custom shape, provide a separate vector cut path. This is usually supplied as a spot colour line on its own layer and clearly named, such as “CutContour”. The line should be a closed path with no doubled lines, stray points or overlapping shapes.
Do not build the cut line into the visible design. It is production information, not part of the printed label. If you are unsure how to create a cut contour, provide the intended shape and request guidance before sending final files. Fixing an unclear cut path early is much faster than reworking a job after proofing.
Set images and graphics up for print
Images should generally be supplied at 300 dpi at their final printed size. A low-resolution image may look acceptable on a mobile or laptop screen but print soft, pixelated or blocky. Enlarging a small web image does not create extra detail, so it is better to source the original high-resolution file.
Logos, icons and line illustrations should be vector artwork wherever possible. Formats such as AI, EPS and PDF preserve sharp edges at any size. This is especially useful for small label text, fine linework and crisp branding. Avoid sending a screenshot, a copied image from a website or a logo pasted into a Word document.
Check thin rules and reversed-out text with care. Very fine lines can weaken or disappear on textured stocks, metallic materials or smaller labels. White text reversed out of a dark background needs enough weight to remain readable. The right setting depends on the material and print method, so a practical design adjustment is often preferable to a risky fine detail.
Use the right colour setup
Build print artwork in CMYK unless a specific spot-colour process has been agreed. RGB colours are made for screens and can shift when converted for print, particularly bright blues, greens and fluorescent-looking tones. A screen is backlit, while a label is viewed under ambient light, so an exact visual match is not always possible from an RGB file.
If your brand uses precise corporate colours, supply the relevant Pantone references or approved colour values with the artwork. This gives the production team a clear target. However, the final result can still vary depending on the label stock. The same ink may look different on uncoated paper, gloss synthetic, clear film or metallic material because each surface reflects and absorbs light differently.
Dark backgrounds deserve extra attention. Rich black can produce a deeper, more even result than using black ink alone, but the best build depends on the job. Avoid using registration black for ordinary text or large background areas. It is intended for print registration marks and can create unnecessary ink coverage issues.
Consider the label material while designing
The material is part of the design, not simply a finishing choice. Clear labels allow the product or container colour to show through, so areas intended to print white need to be specified correctly. Metallic stocks can add a premium look, but pale colours and fine details may behave differently over a reflective surface.
For freezer, chiller or waterproof applications, synthetic and vinyl materials are usually more suitable than paper. If the label must stick to cold, damp, rough or low-energy surfaces, adhesive selection matters as much as the artwork. A good-looking label that lifts in the fridge is not a successful label.
Paper stocks can suit dry, indoor products and give wine, food or artisan packaging a tactile finish. They are not automatically the right option for products exposed to condensation, oils or repeated handling. Confirm the application conditions before locking in the design and material.
Make barcodes, QR codes and legal text readable
Barcodes need sufficient size, contrast and quiet space around them to scan reliably. Black bars on a white background remain the safest choice. Avoid placing a barcode over a photograph, metallic texture, clear film or busy colour pattern unless it has been tested.
QR codes also need clean contrast and adequate size for the expected scanning distance. Do not distort, crop or redraw them. Test the final code from a printed proof where practical, particularly if it leads customers to ordering, product instructions or compliance information.
For food, beverage, chemical, cosmetic and retail products, check all mandatory wording before print approval. Ingredients, allergens, net contents, warning statements, batch areas and storage directions need to be legible at the final label size. It is easy to make type too small when fitting a lot of information into a compact panel.
Supply a production-ready file
A press-ready PDF is usually the most reliable file format for label artwork. Export it with bleed included, crop marks only if requested, and fonts converted to outlines or embedded. Images should remain at effective print resolution, and layers should be tidy enough for production to identify what is meant to print, cut or overprint.
Before sending the file, run a final check:
- Confirm the finished label dimensions and quantity.
- Check bleed reaches every outside edge.
- Keep important content inside the safe area.
- Review spelling, product details, phone numbers and barcode digits.
- Make sure images are high resolution and logos are vector where available.
- State the intended material, adhesive requirements and application conditions.
It is also useful to include a visual reference, such as a PDF mock-up or a photo of the product container. This helps identify obvious orientation issues, such as labels supplied the wrong way around on a roll or a front panel designed for the wrong side of a bottle.
Proof carefully before approving
A proof is the point to check content, size, layout and production instructions. Read every word rather than relying on spellcheck. Compare barcodes, regulatory text, product variants and contact details against the approved source information. Once labels are printed, a one-character error is still an error across every roll.
If colour is critical, ask about an appropriate proof or sample process. This is worthwhile for new packaging, premium products and brand-sensitive work. For repeat orders, retain the approved production file and record the material, finish and application details so future runs stay consistent.
The fastest label jobs are usually the ones where artwork and application requirements are clear from the start. Build the file for the real product, leave room for print and cutting tolerances, and choose a material that suits where the label will be used. That preparation gives your labels the best chance of looking right and staying put when they reach the customer.
